Dorchester and District u3a (hereafter ‘the u3a’ and ‘we’) treat your privacy rights seriously. This privacy policy sets out how we will deal with your ‘personal data’, that is, information which could identify, or is related to the identity of, an individual.

When you express an interest in becoming a member of the u3a, you will be asked to provide certain information. This includes:

All the information collected is obtained directly from you. This is usually at the point of your initial registration. The information will be collected via membership forms or online contact forms. The lawful basis for collecting and storing your information is due to the legitimate interest that we have in communicating with you as a member/contractual relationship that you, as a member, have with us. In order to inform you about the groups, activities and events that you can access as a member we need to store and process a certain amount of personal data.
Group Leaders/Contacts may also collect information from you purely for group communication purposes.

Members have the right to request a copy of their personal datas held by the u3a and information as to how this is used. Such a request can be made by contacting the Membership Secretary (as detailed above) who will usually respond within a month.

This policy is available on our u3a Website or from the Secretary (email: [email protected]). This policy may change from time to time. If any material changes are made, then members will be made aware of this via the newsletter and the monthly members' meetings.

- Internally - to Committee Members and Group Leaders – as required to facilitate your participation in u3a activities.
- Externally if a member has requested (and subscribed to) direct mailing of Third Age Matters magazine from the Trust. The magazine is distributed by a third party processor and your information is shared with the distribution company via a secure online portal.
- If we have a statutory duty to disclose your personal information for other legal and regulatory reasons, we will seek to obtain your consent. Information would be shared where there were serious safety concerns and it was felt to be in your or the u3a’s best interests to disclose information.
